LOGOS FACILITY SCHEDULER 7.5

If you have installed VersIon 7.2 or greater, you can quickly download Version 7.5.223 by pulling down the Help menu within the program, choosing About Scheduler and clicking the Updates button. Within minutes you will be updated to this latest version with some useful improvements!

If you have a current Maintenance Contract, you can still download Version 7.3 from this website. You will need your Version 7 Installation Serial Number to complete the process. If you do not have your Version 7 Number, call 800 266-3311 to order it.

Facility Scheduler 7.5 Additions/Changes (Updated 1/28/2009) PDF File Adobe Reader Adobe Reader required — Right-click on the link to choose Open in New Window or Save Target As. These pages list most of the changes that have been made to Logos Facility Scheduler in Versions 7.1 - 7.5. You may print these pages to distribute to your staff members to keep them current with these improvements.

New in Version 7.5

Error Resolution — Version 7.5.223 addressed an issue that several users encountered in Version 7.5.128 when opening an Event record in Event Planning. Programming discovered an problem with a particular view parameter in metadata and updated the code.

Security — Modified the program so that the All Day Event check box in Event Planning is now dimmed for a user with Read Only Access.  Also added separate security in Event Planning for the Room Options feature on the Facility tab. Now, all users are automatically set to No Access, with the System Administrator setting overriding that. The Administrator can grant Full Access to any user deemed worthy.

Windows 7 — Modified the program to allow opening the Help file when running this new operating system. 

Utilities > Export to Google Calendar — Added a new routine that exports event data for a date range to a file that can be imported into Google Calendar. 

Utilities > Find Double Booked Rooms — Added a new routine on this menu that prints a report of any event occurrences in which one or more rooms are also scheduled for another event at the same time. This includes any events defined as Conditional on the Facility tab, intentionally allowing two events to schedule the same room. (Earlier versions had several ways in which it was possible to double-book a room. This routine identifies if any problems exist as a result.)

Reports > Daily/Weekly Calendars — These reports are now able to print events that have no rooms scheduled due to conflicts with previously scheduled events. 

Reports > Monthly Calendar — Resolved an error condition in this report.

Reports > Room Setup — Added a new option to Print Only Events With Setup Info.

Reports > Recurring Events  — Added a new option that will print all occurrences within a date range of a selected event, listing the rooms reserved for each occurrence.

Preferences > Field Text > Combo Boxes — Made some minor internal changes to this table.

Help > About > Updates — After downloading completes, if the administrator does not respond to the prompt to shut down the program in order to begin updating, after a brief interval, the routine will automatically begin the processing. This frees the administrator from having to stay at the computer until downloading is complete.

User Settings are moved from a location (c:\documents and settings\[user name]\application data\logos management software) on each workstation (if networked) to a file within the \logoswin\scheduler\metadata\users directory. This occurs the first time a user opens this version, and allows each user to access his or her own settings from any computer on the network.

Event Planning —

  • Room Options (Facility tab) — Added new alerts to the Conditional option. Now, if an existing event selects a room in use by a Conditional event, an alert pops up when the change is saved. Also, if the Conditional setting is changed back to Normal, if any rooms are now in conflict with another event, when the change is saved, an alert pops up. In both cases, a Conflict report will print and the user is given the option to proceed or cancel. If the change is saved, rooms in conflict are cleared from the current event. 
  • Create New Event — Resolved an issue with the Calendar Title field not being populated when a new event was created. Also resolved an issue when creating a new event was the first action taken after the routine was opened. (Facility selections were improperly displaying if another new event was also added.
  • Contact Person Info — Added a Cardfile Icon to the Calendar View screen. When an event is highlighted, moving the mouse pointer over this icon will display in a popup the Contact Person's Name, Phone and Email, if defined.
  • Dimmed the File menu's New option when in this routine to prevent potential conflilcts. Also dimmed the Delete option when on the Preview, Monthly or Yearly tabs to avoid confusion.
  • Resolved an issue with editing the Event Description for a Recurring Event directly on the Daily or Weekly Planner.
  • Daily/Weekly Tabs — Modified the Recurring Events report that prints when the right mouse button is clicked on an event in the Planner and Display Recurrence is selected from the popup menu. The event occurrences now print in date order and display the Room Numbers reserved for each date.
  • Modified the code when adding and saving the first event on a date. 
  • Resolved several issues when a user has two or more Event Planning windows open at the same time and move back and forth between them.
  • Set Recurring / Extend Recurring — Clarified the alert that appears when saving event occurrences and a conflict is found. Also added a new Every Other Week option to the Recurring Dates window.

Version 7.3

Event Planning > Save Recurring Event — When saving a "cosmetic" change such as the Event Name, Color, Category, Contact Info, etc., when no conflict checking is being done, if any event occurrences do not have the same rooms or equipment reserved as the currently selected occurrence, those resources will not be added. The removes the possibility of resources being double-booked through this procedure.

User Settings have been modified so that they are now tied to each person's User ID/Password, allowing each person to automatically access his or her own settings from any computer on a network.

Status Bar  — This information bar at the bottoom of the program window now displays the User ID, the current data directory and the default printer. When a process is being run, a progress bar reflects the activity. 

Current Users — This Administrator menu routine was modified to display user logins for today the the prior day. As before, those who have closed out of the program have an entry in the Logged Out column.

Web Calendars — Logos Ministry Connection on the Web has been updated with new options when adding a dynamic web calendar to your organization's web site. This includes the ability to place links to specific events at any place you desire.


Version 7.2

Event Planning —

  • Modified the Conflict Report that prints when setting or extending recurring events. The rooms that print now are only those that have been directly selected at the times in question.
  • Resolved an issue with Setup and Clear times when entering Start and End times for a new event. The Start and End times automatically reset the Setup and Clear times to match. When editing the Start and End times, it may be necessary to also manually edit the Setup and Clear times.
  • Modified internal code that was allowing some events in some datasets to not correctly protect a scheduled room.

Add-ons Setup > Email — Added a new CDO option for use with web-based email systems such as gmail.

Weekly Calendar — When the "One Room Only" option is selected, added a check box givings the option to Print Room Description, which is then added after the Room Number.

Room Setup Report — Modified the export function to allow an exported file to include the Room Number.


Version 7.1

The version number was incremented to match other Logos products. These changes were made with the initial release of Version 7.1.
  • Visual FoxPro 9 — The database was updated to stay current with new systems (e.g., Vista). Also, various screen controls were updated to do the same. Plus, numerous internal changes were made to improve handling of room assignments.
  • Reports — New Output Destination options (Send to Document, Send to Spreadsheet) were added and the Print Preview has new features to aid in quickly checking the report's information and layout.
  • Utilities > Import Holidays — Added this routine to import files with dates and descriptions of holidays. You can download a file containing four years of holidays (Holidays.exe) that you can easily edit and then import using this new routine. (This file is updated annually.)
  • Help > About Scheduler — A new Updates button links to the web to download and install updates.
  • Help files were modified to run on Vista.

  • Version 4.6

    Items were added in 4.2 unless otherwise noted. Versions 4.5 and 4.6 made several internal changes to resolve occasional issues with conflict checking.

    Event Planning

    • Saving "Non-Schedule" Changes — When changes are made to an event that do not impact scheduling of rooms or equipment, the routine now skips Conflict checking when saving the changes.
    • Conflict Report — When saving an event that conflicts with a previously scheduled event in some way, the Conflict Report that shows the date(s) resource(s) that are in conflict, now prints the event for which those resources have been scheduled.
    • Display Recurrence — This window, which opens when you click the right mouse button on a Recurring event on the Daily or Weekly tab, now displays recurrences in date order. A printer icon has been added to the form so that the list of recurrences can be printed.
    • Holidays — Holidays now display next to the date at the top of the Event Planning window for the dates defined.
    • Tentative Events are now identified with "(T)" after the Event Description on the Daily, Weekly, and List tabs
    • List Tab — Events now display in black, no longer using a color selected on the Event tab. (Some colors were hard to read as text.)
    • Facility Tab — A new "Primary " check box has been added to the grid in which rooms can be reserved. This can be used to designate a room to print first among multiple rooms reserved for an event and to be the one room that prints for an event on reports when the One Room Only option is selected..
    • Setup/Equipment Tab — A new Lighting check box has been added to this tab to indicate if lighting equipment/operator is needed for an event.
    • Events Menu — A new Change Event Time routine has been added to allow moving or copying event details to other times on the same date. This lets you create a duplicate event on the same date, such as seminars or workshops within a conference.
    • Change Event Date — Modifications were made to improve performance when moving a Multi-Day Event. (4.4)
    • Find — A Date Range plus Equipment and Staff list boxes have been added to the Find Event window to allow more focused results when searching for events. (4.5) 

    Rooms Free — You may now define a Day of Week for this search, allowing a search for rooms that are free on a specific day over a period of weeks. (4.5)

    Staff —The Day Phone field is no longer required in a staff record, accommodating entries for persons who are not available by phone in the daytime. (4.5)

    Reports

    • An optional User Reports add-on can now be purchased, giving the ability to modify existing reports. An Edit button is added to the Output Destination screen of all reports, allowing you to open the Report Designer and make changes to report elements. (4.3) A user's access to edit or delete reports can be defined in Maintain Users. (4.3)
    • Request to Schedule, Event Profile, Confirmation Form, Building Schedule, and Room Setup reports now include the new Lighting check box that can be marked on the Setup/Equipment tab.
    • Event Profile and Confirmation Form layouts have been redesigned for readability (e.g., Rooms have been moved to directly below the Times, Staff information now prints in columns, etc.), plus Recurring and Multiple Day date ranges have been added. Also, the Contact person's Phone Extension now prints.
    • Daily Calendar, Weekly Calendar, Monthly Calendar, and Weekly Bulletin reports now display holiday text above the first event of the date defined.
    • Daily Calendar and Weekly Bulletin now print the Location field for Off-Campus events.
    • Building Schedule has a new option to print a Continuous report, rather than starting a new page on each date.
    • Recurring Events report has a new report that prints the date of last occurrence for all recurring events within a date range, helping you plan when to extend Recurring events.
    • Error handling has been improved at several places within the program.

    Utilities

    • A new Remove Incorrectly Selected Rooms has been added for use if an event was deleted but all the room reservations were not fully cleared.
    • The Help file now contains instructions on importing data into Microsoft Outlook (4.3) and Microsoft Excel (4.4). The About window now has links to open locations on the Logos web site. (4.4)
    • Delete Old Events has been modified to process events in a series of incremental deletions rather than as one continuous process. This makes it less likely to encounter problems when deleting large amounts of data. (4.5)
    • Export to Calendar Creator — A Room # has been added to the export file for use by some programs (e.g., Excel. If a Primary room is defined for an event, that is the one that exports, otherwise the routine exports the first room listed for the event. (4.5)

    System

    • Restore Data has been modified to be able to read the encrypted backup files created by Logos Global Backup. (4.6)
    • Backup Data and Restore Data now allow selecting types of files to backup: Data files (the default), Security files (user access settings), or Edited reports (user-edited reports). (4.3)

    Administrator

    • Maintain Users — Select Scheduler > Reports > User Reports to set a user's access to No Access or Read Only. The latter option allows him or her to run user-edited reports, but not edit or delete them. (4.3)
    • Error Log — The steps to create a zip file of the error log have ben streamlined. (4.3)

    What was New in Version 4?

    Performance was significantly improved, both in speed (up to eight times faster than Version 3) and data stability.

    Roadmaps were added to the program’s desktop with icons that open the most commonly used routines. This display is controlled from the Organization tab in Preferences.

    Add Ons Setup

    This File menu routine was added so that you can define the e-mail system you are using to send e-mail messages. This enables sending e-mails to Contact Person's for events, with the option to also send the message to Staff members.

    Preferences

    The Field Text tab has two new options allowing you to set defaults to pre-mark the Groups tab for new events to print in the Weekly Bulletin and/or Monthly Calendar reports.

    Data Entry

    Event Planning —

    • The window size has been increased to aid in viewing events in the Planner on the Daily and Weekly tabs.
    • When defining a new event on the Event tab, the Setup and Clear times now advance automatically as entries are made in the Start and End fields.
    • All tabs in the Event View (Facility, Setup/Equipment, etc.) now display the event date and day of week.
    • After saving an event, the Room #/Description window now clears automatically.
    • Explanatory text has been added in blue to the Event tab about changing a Normal event to Recurring or Multiple Day.
    • The Staff tab now allows entering an address and e-mail for the event’s Contact Person, plus adding Extensions to the Phone numbers. You can also send e-mail messages to Contact Persons and Staff members from this tab.

    Set Recurring —

    • Processing time to check for conflicts and then save the event occurrences has been significantly reduced. This is true both for creating new Recurring events and for updating them.
    • When defining a Sporadic schedule, the calendar no longer automatically marks the day after the original date.
    • The Skip Holidays function now respects the full duration of a Holiday, not just the first day.

    Rooms Free now has an icon to print a list of the available rooms. The routine also now respects a midnight End/Clear Time for an event.

    Staff — A field for email address and Extension fields for Phone numbers have been added, and saving a new entry has been streamlined.

    Keys — A Clear Key from Event button has been added to remove a key’s Event information so that it can be assigned for another event or given to a different person.

    Combo Box Codes — The Code field can now be edited for these items.

    Reports —

    Confirmation Form / Event Profile — The reports have been modified to better keep Comments text aligned with headers. And phone numbers are now formatted with parentheses, spaces and dashes. Also, E-mail addresses print for the Contact Person and Staff members assigned to the event.

    Confirmation Form / Event Profile / Room Setup — These reports that allow selecting one event to print now skip the screen on which to select events for one or more Groups. All three reports also print the email address for the Contact Person. And the first two also print email addresses for staff members assigned to an event.

    Daily / Weekly / Monthly Calendar / Weekly Bulletin / Weekday Recurring Events — Thesereports now have an option to print events marked as Tentative. Tentative events are noted by (T) after the Description.

    Daily / Weekly Calendar / Weekly Bulletin — The Location line for Off Campus Events now prints where Rooms are listed for other events.

    Weekly Calendar has a new option to omit the Setup and Clear times, printing a one-line listing for selected events.

    Monthly Calendar — When two or more events have the same Start Time, that time prints above them as a group, rather than repeating for each event.

    Weekly Bulletin — For events that extend over two or more days, the Bulletin Comment now only prints for the first day.

    Building Schedule / Room Setup — Phone numbers are now formatted with parentheses, spaces and dashes.

    Most reports no longer print the report date in the main header to reduce confusion with the actual event date(s). The report date still prints in the report footer.

    Output Destination — Page Setup and Printer Setup buttons have been added to aid in changing margins and/or printers. You also have the option to print up to ten copies of any report. Also, new PDF and HTML drivers have been provided to accommodate newer systems.

    Master Lists —

    • Staff now prints email addresses entered with staff records.
    • Equipment no longer prints the unneeded "Quantity" column.
    • Keys A new Key List by Name report prints the list of keys in order by the persons to whom they have been assigned.

    System

    The Backup and Restore functions have been made into separate menu options to reduce the chance of error. Plus, the Backup routine now has the capability of attaching a backup file to an e-mail message to Logos Support.

    Microsoft Corporation has identified an issue in Visual FoxPro Version 8 (the database on which Facility Scheduler 4 is built) for Win2000 users who have defined "roaming profiles" and who move between Win2000 and XP machines. Contact Logos Support at support@logoscms.com for information on installing a file that resolves this issue.
